Getting started as a treasurer

As the club's treasurer you keep the membership fee records: who paid, who is late, and the club's monthly report. No money goes through drillmate — you record the payments the club received.

Becoming the treasurer

Treasurer is not a role of its own; it is added to your role by the club's owner or an admin. They open you in "Club" › "People" and switch on "Treasurer". A coach can be the treasurer too — their teams stay the same.

Membership fees come with the club's Club plan. Until the owner turns it on, the fee pages say "The owner turns on the Club plan".

First steps

The "First steps" card ticks itself:

  1. "Open the fees" — month by month: who paid, who is late.
  2. "Record the first payment" — open a player in the month and record the payment.
  3. "See the monthly report" — the club's PDF: fees, attendance and trainings in the month.

Each month

  1. Open the fees and pick the month.
  2. Record payments as families pay the club. Filter by "Late", "Waiting" or "Paid".
  3. When families are late, use "Remind N families" and confirm. A reminder also goes on its own, 5 days before the due day and the day after.
  4. At the end of the month, download the club's monthly PDF.

Once the due day has passed, "Activity" also shows how many players are late.

Coaches' work

"Coaches' work" lists the trainings and matches each coach led in a month — what their pay is based on. You can download it as a CSV file.
