drillmate terms of service
Effective date: 25 October 2026
These terms apply to coaches, club staff, parents and players who use drillmate. Every organisation — a coach working on their own or a club, on any plan — is also bound by the terms for organisations and the data-processing agreement, which are part of these terms. You accept both when you create your account.
1. Who provides drillmate
drillmate is run by Dino Ramić, an individual based in Bosnia and Herzegovina ("drillmate", "we"). You can reach us at hello@drillmate.app; for privacy and data requests write to privacy@drillmate.app.
2. What drillmate is
drillmate is a training planner for football coaches and clubs: a drill library, a session builder, an attendance register, availability answers from families, team focus and development overviews, matches, club membership fees, and a parent view of a child's trainings. It is available as a phone app for iOS and Android and as a web app.
drillmate is a tool for coaches and parents. It does not give coaching, medical or safety advice, and it does not replace a club's own duty of care.
3. Your account
- You must be at least 18 to open an account, or 16 for a player who links their own player record with a code from their club, or 13 for a player whose parent approved an account and gave them its code (see section 7). Children under 13 do not have accounts; a parent manages a child's record.
- You give us a valid email address and keep your password to yourself. You are responsible for what happens under your account until you tell us it was compromised.
- One person, one account. A person belongs to exactly one organisation at a time: a personal organisation, or a club they joined with a staff invitation.
- You may close your account at any time in Menu › Privacy and data › Delete account (in the family app: Account › Privacy and data; on the web: Settings › Privacy and data). Section 11 explains what happens to your data.
4. Plans and subscriptions
- Kickoff is free and has limits (currently one team, five own drills, one plan suggestion per week). Limits are shown in the app and may change; existing data is never deleted when a plan ends.
- Coach is a paid subscription bought inside the phone app through the Apple App Store or Google Play. The store charges you, renews the subscription and handles refunds under its own rules; drillmate cannot issue store refunds.
- Club is bought by a club on the web through Paddle, which is the merchant of record: Paddle sells the subscription, collects the payment and the taxes and issues the invoice. If you are invited into a club, your seat is paid by the club.
For every paid plan:
- Renewal. A subscription renews automatically for the same period and at the same price unless it is cancelled at least 24 hours before the current period ends. A store subscription is charged to your Apple or Google account.
- Cancelling. You can cancel at any time — a Coach subscription in your App Store or Google Play account, a Club subscription through the "Manage subscription" link in Paddle's emails or in drillmate under Menu › Subscription. Deleting the app does not cancel a subscription. The cancellation takes effect at the end of the paid period and the benefits continue until then.
- Price changes. We announce a price change at least 30 days before it applies, in the app or by email. For a Coach subscription the store handles the change and asks for your consent where the law requires it. It applies from the next renewal, and you can cancel before it does.
- No free trial. drillmate has no trial period. The Kickoff plan is free and has no time limit.
- Your organisation. A paid plan belongs to your organisation, not to a device or a single person, and passes to the new owner when ownership is transferred.
- Refunds. Refunds for in-app purchases are handled by Apple or Google, and we cannot refund them directly. drillmate.app/refunds explains how to ask the store, and when a Club payment is refunded.
- Withdrawal. If you are a consumer in the EU or the UK you may withdraw from a purchase within 14 days, but the right ends once delivery of the digital service has started with your express consent, which the checkout asks for.
- Prices include the taxes the store or Paddle is required to collect.
Apps from the App Store and Google Play
- These terms are an agreement between you and us, not with Apple or Google. We, not they, are responsible for the app and its content.
- The iOS app is licensed under these terms and under Apple's standard Licensed Application End User License Agreement, which also applies. The Android app is licensed under these terms.
- Apple and Google have no obligation to maintain the app or to give support for it. Support goes to us, at hello@drillmate.app.
- If the app does not conform to a warranty that applies, you may tell Apple, which refunds the purchase price; beyond that Apple has no warranty obligation for it.
- Apple and Google are not responsible for claims about the app, such as product liability, legal or consumer-protection claims, or claims of infringement; those are ours.
- You confirm that you are not in a country under a US government embargo or on a US list of prohibited or restricted parties.
- For the iOS app, Apple and its subsidiaries are third-party beneficiaries of these terms and may enforce them against you.
5. Acceptable use
You agree not to:
- enter data about a person, in particular a child, without the right to do so;
- use drillmate to harass, discriminate against or shame players, parents or staff;
- upload content you do not have the rights to, or content that is unlawful;
- try to access other organisations' data, probe or overload the service, or reverse-engineer it beyond what the law allows;
- resell or sublicense drillmate.
We may suspend or close an account that breaks these rules. We will tell you why, unless the law prevents it.
6. Your content
- Drills, plans, notes and other content you create remain yours.
- You give drillmate the licence needed to run the service: to store, display, back up and, where you choose, translate and share your content with the people you make it visible to.
- If you mark a drill as public, other drillmate coaches can see and use it in their own trainings in drillmate; they may not publish it outside drillmate as their own. You can make it private again at any time; copies already added to other coaches' plans remain.
- drillmate's curated drill library, the app design and the software are ours or our licensors'.
7. Players, children and parents
- A coach or club enters players to run trainings. The coach or club is responsible for having the right to record that player, under the club's own rules and the law.
- On the enrolment form the family accepts the club's own rules (a version of them is recorded) and gives an emergency contact. The note on the form is optional.
- A parent connects to a child's record only with an invitation code from the coach. By entering the code, the parent confirms they hold parental responsibility for that child and agrees to the privacy notice for children and parents at drillmate.app/children.
- A player aged 16 or over may follow their own player record with their own account. They connect only with a player code from the coach, which the coach can make only when the year of birth the club recorded shows the player is 16 or over this year; a player code links one account. By entering it, the player confirms the record is theirs. They see what a parent would see — their schedule, availability questions, attendance, shared notes, trophies and fees — and answer availability themselves. Their parents may stay linked as well.
- A player aged 13 to 15 may follow their own record only with an account their parent approved. The parent — already linked by a code from the club — agrees explicitly, and drillmate keeps a record of who agreed, when and to which text. The parent sees everything the player answers and can turn the account off at any time; the account is then deleted. The player does not do the family's paperwork (enrolment, fees, pauses or leaving). At 16 the account continues. The short rules for the player are below.
- A parent can end their child's time on a team at any time, and a player aged 16 or over with their own account can end their own. A coach can unlink the family from a player (the player's own account included), take one parent or the player's own account off a player, and mark a player as having left the club.
- Development notes a coach writes about a player are visible to the parent only when the coach shares them. Match ratings are never shown to the family.
For players aged 13 to 15, in short
- You see your trainings and matches and say if you are coming.
- Your parent sees everything you answer.
- If you say you are hurt or ill, your coach and your parent see it.
- There are no messages and no chat.
- Be fair: answer for yourself only, and keep your password to yourself.
- Your parent can turn your account off at any time. You can delete it yourself too.
8. Notifications
With your permission, drillmate sends push notifications about training changes, new trainings, reminders, availability questions, absences, trophies, training and match summaries, membership fees, announcements, days off, cover for a trainer, enrolment and medical-check reminders and requests. You control each kind in Settings and can turn the permission off on your device.
9. Availability and accuracy
- We work to keep drillmate available and correct, but we do not promise it will be uninterrupted or error-free. Attendance, availability and plans are entered by people and can be wrong; always confirm safety-relevant information directly with the club.
- We may change or retire features. If a change materially reduces what you paid for, you may cancel and we will refund the unused part of the current period that we control (store refunds follow store rules).
10. Liability
- We are fully liable for intent and gross negligence, and for injury to life, body or health.
- For slight negligence we are liable only for the breach of an essential obligation (one the service depends on and you may rely on), and then only for the damage that was typical and foreseeable. We are not liable for lost profits or for data you entered incorrectly.
- Your statutory consumer rights are not affected.
11. Ending the relationship
- You can delete your account at any time (Menu › Privacy and data › Delete account). A parent can switch off a child's account (13 to 15) with one tap; it is then deleted. Your account, membership, preferences, push tokens and calendar links are deleted. Drills you wrote for a club stay with the club, shown as written by a "Former coach"; notes, ratings and fee records you entered stay with the club without your name. Children no other parent holds are deleted, unless the player follows the record with their own account. If you are a player with your own account, your player record stays with the club and any parent who holds it, without your account. If you are the only member of your organisation, it is deleted with everything in it. A club owner must first transfer the club (Club tab › People, open the member, Transfer ownership); a paid subscription that still renews must first be cancelled. Details: drillmate.app/delete-account.
- We may close accounts that break section 5, or if we stop providing drillmate; in the second case we give at least 60 days' notice and a way to export your data.
12. Privacy
How we handle personal data is explained in the privacy policy at drillmate.app/privacy, which is part of these terms.
13. Law and disputes
These terms are governed by the law of Bosnia and Herzegovina, and the competent courts of Bosnia and Herzegovina decide disputes about them. If you are a consumer in the European Union or the United Kingdom, you keep the protection of the mandatory consumer law of your country and may bring claims in the courts there. We will try to resolve any dispute with you directly first; write to hello@drillmate.app. EU consumers may also contact the European Consumer Centre in their country (ECC-Net). There is no arbitration.
14. Changes to these terms
We may update these terms. For changes that affect your rights or what you pay, we will tell you in the app or by email at least 30 days before they take effect. If you do not agree, you can delete your account before that date.
