Membership fees
Keep a record of who paid the monthly fee, who is late and who is exempt, and remind families. drillmate only records payments: no money passes through the app. Families pay the club the way they always have.
Who keeps the fees
The club's owner and admins, and a Treasurer if the club names one. Membership fees are part of the Club plan.
To name a treasurer, open the person under People (or Coaches and staff), and turn on Treasurer. Their role on the teams stays the same. A treasurer who has no team gets a home made for the money: this month's fees, the late families and the latest payments.
Set the amounts
- Open Club › Fees (on the web, Membership fees), then Set amounts.
- Enter a monthly amount for the Whole club, and optionally a different one Per team.
- Set the Due day: the day of the month to pay by. After it a month is late.
Changing an amount applies from now on; earlier months keep the old amount.
Record a payment
On the month's list, mark a player Paid, or open their row for more:
- Paid in cash or Paid by transfer
- Amount and note… for a partial or different amount
- Exempt this month or Waived this month
- Undo the record
- Open every month — the player's whole history
Filters show Late, Waiting or Paid players. A month of an approved pause counts as Paused and is not owed.
Remind families
Families with a parent in the app get a reminder automatically, 5 days before the due day, and a notice the day after it when no payment is recorded.
You can also tap Remind N families. It goes only to late families who were not reminded this month.
Export
Export CSV downloads the month: team, player, fee, status, method, amount, note, and who recorded it when.
What families see
A family sees the fee on their child's page: what is recorded, what is late, and the months of the year. They can share a receipt for a recorded month and download a payment statement for a year. The fee always says it is the club's record: if something is off, the family talks to the club.
The monthly club report PDF also includes the fees. See Documents and certificates.
